    Cloud Data Storage Consent & Disclosure

    In short: So that you can use LabelInn's cloud labelling features, we store the label designs you create, the photos, images and PDFs you upload, and the text you type onto labels on our cloud servers. This document explains what we store, where we store it, how we protect it and your rights — and it asks for your explicit consent for international transfer and optional processing.

    Your Data, Your Control

    • ✓ Never used for advertising or to train AI models.
    • ✓ Encrypted in transit (TLS) and at rest (AES-256).
    • ✓ Only you and your team’s authorized members can access it.
    • ✓ You can delete your designs and account at any time.

    Honest note: this is not end-to-end encryption — our servers need access to display, preview and print your content (see Section 4). "Encrypted storage" means the data is protected against unauthorised access.

    2. Content We Store in the Cloud

    The following content you create and upload while using the app is stored on our servers so that cloud labelling, cross-device sync and remote printing can work:

    Important: If you enter personal data such as customer names, addresses, phone numbers or order details onto your labels, that data is stored within the scope above. It is your responsibility to enter such data only where you have a lawful basis to process it.

    3. Where Data Is Stored & International Transfer

    Your content is hosted on our infrastructure provider Google Firebase / Google Cloud Platform (Cloud Firestore database and Cloud Storage). These services run in multiple regions including the European Union and the United States. As a result your data may be transferred outside your country of residence (international data transfer).

    This transfer relies on your explicit consent and/or appropriate safeguards (a data processing agreement / standard contractual clauses with Google) under GDPR Chapter V and KVKK Art. 9. Your data is never sold to third parties.

    4. How We Protect Your Data

    • In transit: all traffic is encrypted with TLS 1.2+.
    • At rest: data is stored encrypted by Google using industry-standard AES-256.
    • Access control: only your authenticated account and authorised members of your company can access your content, under enforced security rules.
    • Highly sensitive secrets such as database connection passwords are additionally encrypted at the application layer with AES-256-GCM and are never exposed to the client.

    Honest note: this is not end-to-end encryption. Our servers must be able to access your content in order to display it to you normally, generate previews and print it. "Encrypted storage" means the data is protected against unauthorised access — it does not mean only you can read it.

    5. Legal Basis

    • Core cloud storage (storing your designs, images and print data): necessary to provide the service — performance of a contract. Without it, cloud features cannot work.
    • International transfer (Google Cloud, EU/US): explicit consent and/or appropriate safeguards under GDPR Chapter V / KVKK Art. 9.
    • Optional processing — AI design assistant, telemetry/usage analytics and marketing messages: separate, refusable consent. Declining these does not affect the core service.

    6. Retention & Deletion

    Your content is retained while your account is active and for as long as needed to provide the service. The default retention for print history is 90 days. You can delete designs from within the app, and permanently remove your account and all associated data via the account deletion page. Disconnecting an integration deletes the related credentials within 24 hours.

    7. Your Rights (KVKK Art. 11 / GDPR)

    • Object to processing and withdraw your consent
    • Request data portability
    • Lodge a complaint with a supervisory authority

    8. Statement of Consent

    I confirm that I have read and understood the disclosure above, and I give my explicit consent to the storage on cloud servers (Google Firebase / Google Cloud) — and the corresponding international transfer — of the label designs I create, the photos, images and PDFs I upload, the text I type onto labels, and my print data.

    I give this consent by ticking the relevant box during registration or by accepting the consent screen on first launch of the app, and I understand that I may withdraw it at any time via the contact channel above. Withdrawing consent may make cloud features unavailable.
